Terms & Conditions
These terms govern your use of services provided by Train Your Menopause Ltd ("TYM", "we", "us"). Please read them before booking. By booking an appointment or completing an intake form, you confirm that you have read and agree to these terms.
Train Your Menopause Ltd is registered in England and Wales. Company number: 15802799. Registered address: 20 Country Park View, Sutton Coldfield, West Midlands, B76 1TE. Our sole practitioner is a Chartered Physiotherapist registered with the Health and Care Professions Council (HCPC: PH130318) and the Chartered Society of Physiotherapy (CSP).
1. Our Services
TYM provides physiotherapy-led health services for perimenopausal and postmenopausal women, including:
TYM Health Assessment — a 60 to 90-minute assessment covering musculoskeletal health, metabolic health, body composition, and physical performance
TYM Injury Clinic — a 30-60-minute musculoskeletal assessment and treatment session
All services are delivered by a Chartered Physiotherapist. TYM is a clinical service, not a gym, fitness programme, or wellness subscription. Services are delivered on a session-by-session basis unless otherwise agreed in writing.
Scope of Practice
TYM provides physiotherapy assessment, treatment, and health education. We do not prescribe medication, provide primary medical care, or act as a substitute for your GP or any other specialist. Where clinical findings indicate a need for onward referral, we will advise you accordingly and, with your consent, write to the relevant clinician.
If you are experiencing a medical emergency, call 999. Do not contact TYM as a first point of response.
Clinical Independence
Our practitioner exercises independent clinical judgement. We reserve the right to decline to provide, or to discontinue, any treatment where we consider it clinically inappropriate, or where proceeding would conflict with our professional obligations under the HCPC Standards of Conduct, Performance and Ethics.
2. Booking and Confirmation
Appointments are confirmed on receipt of the required deposit (see Section 3). A booking is not confirmed until you receive written confirmation from TYM.
You are responsible for ensuring that the information you provide at booking and on your intake form is accurate and complete. Providing inaccurate health information may affect the safety or appropriateness of your care. TYM accepts no liability for harm arising from information you have withheld or misrepresented.
You must complete and return the intake form before your appointment. We reserve the right to rearrange your appointment if the form has not been received in advance.
3. Cancellation, Deposits, and Non-Attendance
Deposits
The following deposits are required to confirm a booking:
TYM Health Assessment: £100
TYM Injury Clinic: £20
Deposits are deducted from the total session fee on the day of your appointment.
Cancellation Policy
We require a minimum of 48 hours' notice to cancel or rearrange an appointment.
Cancellations made with more than 48 hours' notice: your deposit will be transferred to your rescheduled appointment or refunded in full.
Cancellations made with less than 48 hours' notice: your deposit is forfeited. We will not charge the remaining session fee.
Non-attendance without notice (DNA): your deposit is forfeited. We reserve the right to require full payment in advance for any future bookings.
Notice of cancellation must be given by email to olivia@trainyourmenopause.co.uk or by telephone to 07970 840132. Cancellations communicated via social media do not constitute valid notice.
Discretionary Exceptions
We may, at our sole discretion, waive the forfeiture of a deposit in exceptional circumstances (for example, sudden illness or bereavement). We extend this discretion once per client. Any exception does not create a precedent or an ongoing entitlement.
TYM's Right to Cancel
We reserve the right to cancel or rearrange an appointment due to practitioner illness or circumstances beyond our control. In such cases, we will give you as much notice as possible and offer an alternative appointment date. No cancellation fee applies where TYM initiates the cancellation.
4. Fees and Payment
Current session fees are published on our website and confirmed at the time of booking. TYM reserves the right to revise fees, giving a minimum of 30 days' notice to existing clients.
The balance of the session fee (after deduction of the deposit) is due following your appointment. Accepted payment methods: bank transfer, card or cash.
TYM does not accept payment via private health insurance. Sessions are provided on a self-pay basis only.
We do not offer refunds for completed sessions, except where there has been a demonstrable failure to deliver the agreed service.
5. Liability
Clinical Risk
All physiotherapy assessments and treatment carry inherent clinical risk. Before each session, we will explain any relevant risks associated with the proposed treatment and obtain your informed consent. You retain the right to refuse or withdraw from any treatment at any time.
TYM carries professional indemnity insurance as required by the CSP. Our liability to you is limited to direct loss or injury caused by our clinical negligence. We exclude liability to the fullest extent permitted by law for any indirect, consequential, or economic loss.
Pre-Existing Conditions
You are responsible for informing TYM of all relevant medical history, current symptoms, medication, and any conditions that may affect your safety during assessment or treatment. TYM accepts no liability for adverse outcomes attributable to information you did not disclose.
Exercise and Home Programme
Where we prescribe exercises or a home programme, you carry out those activities at your own risk. You should not continue with any exercise that causes pain, dizziness, or unexpected symptoms, and should contact us or seek medical advice if concerned.
Force Majeure
TYM is not liable for failure to deliver services caused by circumstances outside our reasonable control, including but not limited to severe weather, transport disruption, or public health emergencies.
6. Your Responsibilities
You agree to:
Arrive on time. Late arrival may reduce the time available for your session; the full fee remains payable.
Inform TYM before or at the start of your appointment of any change in your health or medication since completing your intake form.
Behave respectfully toward our practitioner. TYM reserves the right to end a session and to decline future bookings where a client's conduct is abusive, threatening, or otherwise unacceptable.
Not attend your appointment if you are acutely unwell with a transmissible illness. Contact us to rearrange.
7. Confidentiality and Records
TYM holds your clinical information in strict confidence in accordance with our professional obligations and the UK GDPR. Full details of how we collect, store, and process your personal data are set out in our Privacy Policy, available at Privacy Policy — Train Your Menopause.
Clinical records are retained for a minimum of eight years from the date of last treatment, in line with CSP guidance. You have the right to request access to your records at any time.
We may disclose information without your consent where we have a legal obligation to do so, or where there is a serious and credible risk to life (including safeguarding concerns). This is consistent with our professional duty of care and does not constitute a breach of confidentiality.
8. Complaints
If you are dissatisfied with any aspect of your care or service, please contact us in the first instance at olivia@trainyourmenopause.co.uk. We will acknowledge your complaint within five working days and aim to respond fully within 28 days.

9. Intellectual Property
All written materials, exercise programmes, assessment reports, and resources produced by TYM are our intellectual property. You may use these for your own personal health purposes. You may not reproduce, share publicly, or commercialise any TYM materials without our prior written consent.
